📋 Citation File Deployment Guide

This guide documents the process for creating a client Citation File from an Excel export of existing citations.

🚀 Quick Start - Copy This Entire Prompt to Claude

COPY EVERYTHING IN THE BOX BELOW AND PASTE INTO CLAUDE:
I want to give you a template I use. And then an excel file. I need you to go through and fill on the template file the links. They will match up. So for example, if Yelp is listed on the template, Yelp is on the excel file and you fill the information. Here is the citation template "C:\Users\peanu\dist\HTML Templates\GMB\Brand-And-Citations.html" Here is the client list of citations and/or brand that has been created "C:\Users\peanu\Desktop\[CLIENT NAME].xlsx" Remove the ones that aren't created and add the ones that aren't listed in the template. Give me an output of what is NOT on the excel file so I know what we need to build. And then create the page with the information from the excel file. Named [CLIENT NAME] Citation File
⚠️ IMPORTANT: Replace [CLIENT NAME] with the actual client name in BOTH places (the Excel file path and the output file name).

Example: For "Valley Spring" client, change:

Prerequisites

Files Needed:

File Location Description
Template C:\Users\peanu\dist\HTML Templates\GMB\Brand-And-Citations.html Master template with all brand property and citation placeholders
Client Excel C:\Users\peanu\Desktop\[Client Name].xlsx Screaming Frog export or similar crawler export with existing citation URLs

Excel File Requirements:

Step-by-Step Process

1 Provide Files to Claude

Start with this prompt:

"I want to give you a template I use. And then an excel file. I need you to go through and fill on the template file the links. They will match up. So for example, if Yelp is listed on the template, Yelp is on the excel file and you fill the information. Understand that?"

Then provide the file paths:

Here is the citation template "C:\Users\peanu\dist\HTML Templates\GMB\Brand-And-Citations.html"

Here is the client list of citations and/or brand that has been created "C:\Users\peanu\Desktop\[Client Name].xlsx"

Remove the ones that aren't created and add the ones that aren't listed in the template. Understand that? don't create it yet.

2 Claude Reads Both Files

Claude will:

Note: If the Excel read fails, Claude will try alternative methods (PowerShell COM, different encodings, etc.)

3 Claude Compares and Matches

Claude analyzes both files and identifies:

Category Description Action
Matches URLs in Excel that match template placeholders (e.g., yelp.com → Yelp) Fill in the template with actual URLs
In Template, NOT in Excel Platforms that need to be built List in "Need to Build" section
In Excel, NOT in Template Additional citations the client has Add to the output file
Broken/Not Working URLs URLs with 4xx/5xx status codes in Excel List in "Need to Rebuild" section

4 Request the Output

Use this prompt:

"Give me an output of what is NOT on the excel file so I know what we need to build. And then create the page with the information from the excel file. Named [Client Name] Citation File"

5 Claude Generates Output

Claude creates two things:

A. List of What Needs to Be Built

============================================================ BRAND PROPERTIES NOT IN EXCEL (Need to Build): ============================================================ - Blogger - Gravatar - WordPress - Weebly ... (etc) Total Missing Brand Properties: XX ============================================================ CITATIONS NOT IN EXCEL (Need to Build): ============================================================ - Manta - Ezlocal - Tupalo ... (etc) Total Missing Citations: XX *** TOTAL ITEMS TO BUILD: XX ***

B. New HTML Citation File

Saved to: C:\Users\peanu\Desktop\[Client Name] Citation File.html

Output File Structure

The generated Citation File follows this structure:

<!DOCTYPE html> <html lang="en"> <head> <title>[Client Name] Brand</title> <meta charset="UTF-8"> <!-- Schema.org markup --> </head> <body> <h1>[Client Name]</h1> <h2>Brand Name:</h2> <p>[Client Name]</p> Website: [URL] Location: [City], [State] [ZIP] Phone: [Phone] <h2>[Client Name] Brand Properties</h2> <a href="[URL]">[Client] on Pinterest</a><br> <a href="[URL]">[Client] on Behance</a><br> <a href="[URL]">[Client] on Medium</a><br> ... <h2>[Client Name] Citations</h2> <a href="[URL]">[Client] on Yelp</a><br> <a href="[URL]">[Client] on Yellow Pages</a><br> <a href="[URL]">[Client] on Merchant Circle</a><br> ... <h2>[Client Name] Press</h2> <a href="[URL]">[Client] on Press Advantage</a><br> ... <h2>Citations/Properties That Need To Be Built</h2> <h3>From Template (Not Created Yet):</h3> <p><strong>Brand Properties:</strong> Blogger, Gravatar, WordPress...</p> <p><strong>Citations:</strong> Manta, Ezlocal, Tupalo...</p> <h3>From Excel (Not Working/Need to Rebuild):</h3> <p>[List of broken URLs from Excel]</p> </body> </html>
